Look, we get it - nobody actually reads these things. But since you're here, we figured we'd make it worth your time and keep things real. This isn't some corporate lawyer speak. We're gonna tell you straight up how we handle your personal info when you work with us at Embervex Enclave.
When you bring your ride to us or reach out for a quote, we're gonna need some basics to do our job right. That includes your name, phone number, email, and address. Pretty standard stuff.
For the actual work on your vehicle, we'll grab your VIN, make, model, year - all that technical jazz. If you're doing performance mods, we might keep records of your current setup so we don't mess anything up down the line.
Payment info? Yeah, we need that too if you want your car back. Credit card details, billing address - the usual. But here's the thing: we don't store your full card numbers on our systems. That goes through our payment processor who's way better at securing that stuff than we are.
Our shop has security cameras running 24/7 because, well, we've got expensive equipment and customer vehicles here. Those recordings get kept for about 30 days unless something sketchy happens.
We're not selling your info to third parties or spamming you with junk. That's not our style. Here's what we DO use it for:
- Scheduling your appointments and sending reminders (because we all forget sometimes)
- Keeping track of your vehicle's service history so we know what's been done
- Ordering parts specific to your build
- Sending invoices and processing payments
- Following up on warranty work if something goes sideways
- Letting you know about recall notices or important updates related to mods we've done
Occasionally we might shoot you an email about new services or special deals, but there's always an unsubscribe link. No hard feelings if you opt out - we won't take it personally.
We keep things pretty locked down, but there are a few situations where we might need to share your details:
Parts suppliers and manufacturers - When we're ordering custom components or claiming warranty stuff, they need to know what vehicle it's for. Makes sense, right?
Payment processors - They handle the money side of things. We use reputable companies that are PCI compliant and all that secure payment stuff.
Our insurance company - If there's ever an incident in the shop (knock on wood), they might need details.
Legal requirements - Look, if law enforcement shows up with a warrant or there's some legal requirement, we're not gonna risk our business license. But this basically never happens.
That's it. Your buddy down the street isn't finding out what turbo you're running unless you tell him yourself.
Yeah, our website uses cookies. Not the chocolate chip kind, unfortunately. These are little data files that help the site remember you and work properly.
We use 'em for basic stuff like keeping you logged into the customer portal, remembering your preferences, and figuring out which pages people actually look at so we know what content matters.
We've also got Google Analytics running because it helps us understand how people find us and what they're looking for. Google's privacy policy applies to that data, and honestly they probably know more about you than we ever will.
You can disable cookies in your browser if you want, but some features might not work right. Your call.
Security's a big deal to us. We've got firewalls, encrypted connections, password-protected systems - the works. Our customer database isn't accessible from the internet, and only authorized staff can get to it.
Paper records with sensitive info? Those get shredded when we're done with 'em, not just tossed in the trash.
We're not perfect though. No system is. If there's ever a data breach (which we work hard to prevent), we'll let you know ASAP and tell you what happened and what we're doing about it.
Our team gets trained on privacy stuff regularly. We're not gonna leave customer files sitting out on the counter or discuss your build loudly in the waiting area.
This is your data we're talking about, so you've got some say in how it's handled:
- Access: Wanna know what info we have on file for you? Just ask. We'll pull it up.
- Corrections: If something's wrong (like we've got your old phone number), let us know and we'll fix it.
- Deletion: Want us to delete your data? We can do that for most stuff, though we gotta keep some records for tax and legal reasons for a certain number of years.
- Marketing opt-out: Don't want promotional emails? Unsubscribe anytime or tell us to stop.
- Copies: You can request a copy of your data in a readable format.
Just shoot us an email at service@embervexenclave.info or give us a call at (604) 555-8473. We'll get it sorted within a reasonable timeframe.
We don't hang onto stuff forever just for kicks. Different types of data have different retention periods:
Service records: We keep these for about 7 years. It's partly legal requirement, partly so we can reference past work if you come back or if there's a warranty issue.
Financial records: Tax law says we gotta keep these for 7 years too. Fun times.
Marketing lists: As long as you're interested in hearing from us. Once you unsubscribe, you're off the list within a few days.
Security footage: About 30 days unless there's an incident that needs investigation.
After these periods, we securely delete or destroy the data. It's not sitting in some dusty filing cabinet forever.
Sometimes we might link to manufacturer websites, parts suppliers, or other resources. Once you click through to their sites, their privacy policies apply, not ours.
We try to only link to reputable companies, but we can't control what they do with your data if you interact with them. Just something to keep in mind.
Laws change, our business evolves, technology advances - so yeah, we might need to update this policy from time to time.
If we make any major changes that affect how we handle your data, we'll let you know via email or a notice on our website. For minor tweaks, we'll just update the "last updated" date at the bottom of this page.
It's probably worth checking back here once in a while if you're the cautious type.
If you've got questions about this privacy policy or how we're handling your info, don't be shy. Reach out and we'll talk it through.

We're here Monday through Saturday and happy to answer any privacy-related questions. Sometimes it's easier to just talk things out rather than trying to interpret legal documents.
If you're in Canada and feel like we're not handling your data properly, you also have the right to file a complaint with the Office of the Privacy Commissioner of Canada. We'd rather work it out with you directly first though.
